Executive Assistant

Overview of the role: The Group Legal function is looking to appoint an experienced Executive Assistant to support the Group General Counsel and wider team across a range of legal team duties, whilst offering dedicated executive assistance to the Group General Counsel.

This role requires somebody who has held previous EA roles within a Group Legal function together with expert administrative skills.

Executive Assistant to Group General Counsel and Group Legal Team of three lawyers including Group Secretariat and FTSE 100 Board/Committee administration responsibilities.

This role is based at the Spirax-Sarco Engineering PLC Group headquarters at Charlton House in Cheltenham.

Initiative, pragmatism, problem solving ability and a “can do” attitude are key to success with the Executive Assistant being able to anticipate needs, think critically, offer solutions and where necessary act independently and with integrity.

Efficiency and energy are key characteristics of the right candidate in this challenging role.

You will need to be fully aware of the General Counsel’s goals and commercial focus for the business, as helping them achieve their strategic objectives is a fundamental requirement of the role.

You will be able to coordinate, organise and prioritise, and remain focused under pressure; have flexibility, adaptability and change responsiveness to shifting priorities.

EA Duties include but are not limited to: Full responsibility for the day-to-day running of the Group General Counsel’s office.

Pro-active workload and diary management.

As gate-keeper of the Group General Counsel’s time, you will ensure that they remain sufficiently accessible, while keeping them on track with their daily objectives.

Pro-active management of e-mails, responding where appropriate and within your remit on behalf of the Group General Counsel and highlighting those that need immediate attention.

Organising Board and Committee meetings, including co-ordinating travel arrangements, if required, for the Group General Counsel, Chair and the Non-Executive Directors.

Schedule and manage key meetings.

Booking internal and external venues in the UK and abroad, organising and coordinating travel arrangements and ensuring attendees have all the correct information on time.

Continuous awareness of ways to improve format and effectiveness.

Preparation of reports and Board/Committee agendas, minutes and papers using Word, PowerPoint and Excel.

Management of the Board/Committee digital portal.

Supporting with key commercial transactions e.g.

major acquisitions.

Supporting the drafting of London Stock Exchange announcements and the Corporate Governance section of the Annual Report.

Travel arrangements for the Group Legal function, as required.

General administration
- expenses for the Group Legal function, the Chair and the Non-Executive Directors, resolving invoices, holiday tracking, handling post, call screening and other matters for the wider team.

Working well within the EA community, showing strong team work capability and providing support to other Directors’ when necessary Administration duties include but are not limited to: Administration of the Company’s shares plans Liaising with the registrar, broker and trustee; Liaising with overseas HR and Finance teams in relation to the vesting of awards and payment of sale proceeds; Interaction with share plan participants including, but not limited to, the provision of general information, plan specific information; and assisting with the vesting of awards or the sale of shares generally; Management of the share plan platform To be successful in this role: You will hold significant experience in a corporate environment within a Group Legal Function of a global business.

In your previous role/s you will have FTSE PLC Board and Committee organisation and support experience.

You will be an experienced professional who is a self-starter, motivated by working in a fast paced environment, always aiming to go above and beyond, and have the key capabilities mentioned above.

You will need to be people-focused as you’ll be working alongside a wide variety of stakeholders at all levels.

We are also looking for someone who has demonstrable experience of working with sensitive/confidential information and interacting with senior leaders on a daily basis.

In your previous roles you will have has previous experience offering effective Share Plan Administration for FTSE250 businesses together with experience of Long-Term Incentive Schemes and HMRC Share Incentive Plans.
